The so-called “AI Worker” (AI employees) used automates recurring communication processes with business partners and answers many enquiries directly from the transport management system. This is exactly what the collaboration between 5U AI, Wahl & Co. and startport demonstrates: In just one week of live operation, a self-learning AI Worker from 5U AI processed 182 day-to-day enquiries at Wahl & Co. and continued to improve continuously.

The challenge: High enquiry volumes under time pressure

Wahl & Co. regularly receives enquiries from business partners. As the existing systems have neither a modern API nor automated notifications, enquiries previously had to be opened manually, researched in the transport management system (TMS) and then answered. In addition, there is a strict service level agreement with a response time of two hours. For the customer service team, this meant high operational pressure, repetitive screen work and a process that, until now, could mainly be scaled by adding staff capacity.

The solution: A digital employee for existing systems

To address this, 5U AI deployed an AI Worker within Wahl & Co.’s existing system and communication environment. The digital employee reads incoming enquiries, matches relevant information with the TMS, adds required documents when necessary, and responds to enquiries automatically.

Even without a technical interface, the AI Worker can access the required systems via secure browser access and carry out the steps like a human. At the same time, colleagues remain involved in the process as a control instance: The solution operates with human oversight, identifies new types of enquiries, and converts recurring patterns into scalable rules.

“Freight forwarders are overloaded with repetitive digital tasks that can only be handled by increasing headcount. With Wahl & Co., we deployed an AI employee in one of the most problematic areas of logistics operations, and within a week it was already handling the majority of incoming enquiries independently. This rapid, tangible impact is exactly why we developed 5U AI,” says Yagiz Abik, Founder & CEO of 5U AI.

The results: 182 tickets and a steep learning curve in the first week

In the first live week in early November, the solution already demonstrated tangible value in day-to-day work. A total of 182 tickets were processed over seven working days. The term “Single-Pass Completion” means that a case is completed fully and correctly in a single pass, without the need for rework or corrections. The improvement from 15% to 96% therefore shows an enormous learning or optimisation effect in just five days.

At the same time, 19 new enquiry types were identified and converted into 15 scalable rules. This highlights a key advantage of the solution: The AI Worker does not merely work through existing tasks, but learns from new patterns and becomes better aligned with operational processes with every interaction. Responses are provided on average within around 4.7 minutes, and therefore within the required two-hour window.

“From day one, Yagiz and Fehmi showed exceptional commitment and quickly developed a deep understanding of our operational processes and our technical environment. We were particularly impressed by their speed, their pragmatic approach and their willingness to take responsibility. The collaboration highlights the considerable potential of AI employees in logistics, and we look forward to continuing our journey together,” says Jonas Poorthuis, Executive Assistant at Wahl & Co., with satisfaction.

From a network impulse to successful implementation

The startport ecosystem played a central role in connecting the parties. The foundation for the project was laid during a deep dive organised by startport on the topic of “Intermodal transport of the future”. During this, the HERO GROUP, a startport network partner, recognised the potential of 5U AI’s technology. Through exchanges within the corporate group, Wahl & Co. subsequently also became aware of the solution, which addressed a specific use case there. Johannes Franke, Managing Director of startport, explains: “The key to real innovation is giving new ideas a chance and testing them in an agile environment. The cooperation between startport and the HERO GROUP shows impressively how this can be achieved: We test solutions on a small scale first and can then, thanks to the strong ecosystem, deploy them specifically where they are needed most—in this case, at the parent company Wahl & Co. That is innovation in action.”

A collaboration brokered by startport between the HERO GROUP, Wahl & Co. and 5U AI shows how artificial intelligence (AI) can deliver tangible relief in logistics.
